When students are unenrolled (via EduRec) from official academic courses, they are considered as inactive enrolments.

This is how they are meant to appear, and they Inactive enrolments cannot access the course.

The inactive tag following their name is how Canvas displays it, and the students cannot be removed nor hidden from the course. This is helpful as you may need to access data regarding the inactive students' participation and grades.

Teachers/TAs removed from CMIS appear as Inactive in People in the course too.

This is an unintended effect of a change we made during the semester break.

Rationale for inactive enrolments

We introduced this to prevent data loss associated with user removal and subsequent reinstatement.

Instead of completely removing a student and their associated data from the course (as it was prior to May 2023), their enrolment status is changed to inactive.
Associated data includes the student’s participation in assignments, quizzes, discussions and groups, as well as any grades.

This enables seamless and complete reactivation, if a user needs to be reinstated.

As of Jan 2025, all inactive enrolments - staff and students - are removed at the start of the W grade period, for a cleaner display.

Any inactive enrolments that appear after this date indicate a student who has dropped the course or a staff who no longer teaches the course. These inactive enrolments will be retained so that the associated data can be reinstated, if needed.

Unintended effects of move to display student inactive enrolments:

  1. Instructors removed from a course (via CMIS) are listed also as inactive i.e. they will appear like student 1 in the inactive enrolments screenshot above.

  2. Previous sections for users (staff and students) are still displayed i.e. they will appear like student 2 in the inactive enrolments screenshot above. As of 22 May 2024, inactive sections are indicated with an Inactive text tag.

Do students see inactive users or sections?

Students do not see inactive students, inactive instructors nor inactive sections.

This can be verified by using Student View in People.

Ultimately, this has little effect on the conduct of the course. The students do not see the wrong information. The instructor view is admittedly misleading, so we are working on a solution for this. Once we have tested the solution, we will work to implement it.

The rationale for introducing inactive enrolment is to prevent data loss associated with user removal and subsequent reinstatement.

Thus, instead of completely removing a user enrolment from the course and their associated data from a system, their enrollment status will be changed to "inactive". This would allow the data to be preserved and easily reactivated when the user is reinstated.
