Guides for Instructors

The Class Data Management System (CDMS) may be updated over time. The contents of this guide will be updated as and when there are any changes in its functions and user interface.

Access CDMS

CDMS is a tool within Canvas. On the left-hand course navigation links, click CDMS.

If CDMS does not appear on the course navigation links, edit your navigation links in Settings.

Update the Course Syllabus

The Syllabus in Canvas will be updated exclusively via CDMS (Class Data Management System), for all Academic courses.

  1. Login to Canvas and proceed to your Course.

  2. On the left-hand course navigation links, click CDMS.

  3. Update the items accordingly. Verify that the information pulled from CMS (Curriculum Management System) is correct, if applicable.

Notes:
Static Course Info includes: Course Description, Units, Grading Basis, Pre-requisites / Co-requisites / Preclusions, Workload hours and Timetable/Exam Info.
Except for Static Course Info:

When any CMS-pulled item is already published to Canvas, re-publishing is required.

When any CMS-pulled item is not yet published to Canvas, please wait and verify that the refreshed info is correct, then publish to Canvas (CMS update cycle may take a while; this is not a CDMS process).

  1. Once ready, click Save & Populate this section to Canvas. Repeat this for the
    remaining items. Example:

You may also use the Save & Populate all to Canvas, to populate all items at once.

  2. You may refresh the screen to reflect the updated status. Else, proceed to the Syllabus page
and verify the items (sections) that you have populated. Example:

  3. To update any other information where editable, proceed back to CDMS. Should you need to undo or hide the already populated info from the Syllabus, click ‘Unpopulate this section in Canvas’ button.

FYI: The Unpopulate button does not work or exists for the static course information → Course Code, Course Title, Course Description … Workload hours. This ensures the basic course information is always visible to students.

  1. Where info is from CMS, please proceed with the usual CMS processes and workflow accordingly. Once CMS refreshes its data, please re-populate the necessary sections to Canvas.
