Class Teams Backup Guide

You can still back up content from an archived team without restoring it, since content remains accessible in read-only mode.

  1. From Teams menu​​​​, select More options [] > Your teams and channels.

  1. Go the to the dropdown and select Archived Teams.

  1. Select the team, select one of the channels in the team.

Steps for Backup by Team Owners

Members can download files and other content that they already have access to.

If you do not have sufficient access, please contact:

  1. Your Team Owner; or

  2. IT Care, if the Owner has left the Team. Please indicate the Team name and your role in the course so that your permissions can be assessed.

For each of the standard and private channels, review and back up the following components as needed:

  1. Posts
    There is generally no simple end-user function to export the full chat or channel message history in Microsoft Teams (education/enterprise accounts).

  2. Download files and folders in Microsoft Teams

  3. Download student submissions in Assignments
    Class Team "Student Work" folders are automatically generated in SharePoint to store assignment submissions.

    1. Go to the Shared tab, select More options [] > Open in SharePoint.

    2. In SharePoint, select Site contents on the top menu and look for the Student Work folder.

    3. Download the files or Copy to your OneDrive for backup.

Note: When a student uploads a document to an Assignment, it goes into the Working files folder. The student can still open it (in Teams Assignments or in SharePoint) and make changes. Once the student clicks Turn in, it is copied to the Submitted files folder and can no longer be edited.

  2. Copy Class Notebooks

    1. Go to the Shared tab, select More options [] > Open in SharePoint.

    2. In SharePoint, select Site contents. Open the Site Assets folder.

    3. Locate the OneNote Class Notebook and use Copy to to copy your OneDrive folder for backup.

Note: The copied notebook becomes a standard OneNote notebook. It will not retain the Class Notebook features (e.g., the special student/teacher permissions and Class Notebook structure).

  1. Download a meeting recording in Microsoft Teams

  • Non-channel meetings: Recordings are typically saved to the organiser’s OneDrive.

  • Channel meetings: Recordings are saved in the channel’s folder in SharePoint.
